Job description

Job Overview
We are seeking a highly organised and detail-oriented Administrator to join our team. The ideal candidate will possess strong office experience and administrative skills, ensuring the smooth operation of daily tasks. This role requires proficiency in various computer applications and excellent phone etiquette, making it essential for effective communication within the organisation.
Responsibilities

  • Raise and process MAN Truck & Bus Contract Maintenance, Warranty claims.
  • To create and raise workshop job cards ensuring that they are clear and concise with all of the relevant information, obtaining start up order numbers from the clients and if required sufficient Guarantee of payments (GOP’s) are obtained.
  • To create and raise workshop invoices on job completion in an efficient manner maximising the gross profit. Making sure that this is completed every day to avoid a back log of invoices on the Work in progress report.
  • Sending pro-forma invoices to clients to agree final costings and obtain close down order numbers.
  • Raise and process MAN Truck & Bus Contract Maintenance, Warranty claims.
  • To draft and send repair estimates to clients ensuring that we maximise the gross profit.
  • To plan in advance and book MOT tests at the local ATF lane for regular commercial vehicle clients.
  • To liaise with the accounts department to maintain awareness of client accounts that are on hold or that have been put on stop.
  • To assist the vehicle technicians in obtaining technical information.
  • Supporting the Workshop controller when required.
  • Assist with collection and delivery of customer vehicles as and when required.

Skills

  • Motor Industry administration support experience, either cars, light commercial or heavy commercial vehicles.
  • Motor Industry Warranty / Repair & Maintenance Claims administration experience.
  • Good communication and organisation skills.
  • Good PC skills.
  • Ability to work under pressure.
  • Ability to work as part of a team.
  • Full UK Driving licence.
